To provide its core functionality, Da Hood EU Management Bot ("we", "us", or "the Bot") processes and stores minimal data strictly necessary for its features:

A. Data Stored Permanently

• Guild & Channel IDs: Stored to keep track of configured channels (e.g., the channel designated for Roblox private server links).
• Role IDs & Whitelist Lists: Stored to manage role assignment restrictions and authorization rules.
• Internal Ban List: We maintain a standalone list of permanently banned individuals managed by server administrators. This data includes:
  • User IDs (or associated identifiers)
  • Administrative notes/reasons for the ban

  Note: This ban data is manually managed by administrators and is not derived automatically from Discord. Members on this list cannot appeal their ban.

B. Data Processed Temporarily (In-Memory)

• Message Content: Content sent in configured channels is read in real-time solely to verify whether it contains a valid Roblox private server link.
  • Message content is never saved or stored long-term. Non-compliant messages may be deleted immediately per channel rules.

2. How We Use Your Data

We use the collected information exclusively to:

• Validate that messages in designated channels contain required Roblox private server links.
• Automatically apply upvote and downvote reactions to valid submissions.
• Restrict specific role assignment permissions to pre-whitelisted members.
• Enforce administrative bans across the bot’s features and prevent permanently banned users from interacting with the bot.

3. Data Sharing and Disclosure

We do not sell, trade, rent, or share any collected data with third parties. Data is only accessible to authorized administrators of Da Hood EU Management Bot or as required by law.

4. Data Storage and Security

• Storage Location: All persistent data (server settings, whitelists, ban lists) is stored securely.
• Security: Reasonable technical precautions are taken to prevent unauthorized access, loss, or misuse of stored IDs and configuration data.

5. Data Retention and Deletion

• Configuration Data: Guild settings, whitelists, and channel configurations are retained as long as the bot remains in the server. Removing the bot from your server will flag configuration data for deletion.
• Ban List Data: Admin-managed permanent ban data is kept indefinitely to maintain server security and enforce non-appealable bans.
• Data Removal Requests: Users may request the deletion of non-essential stored data by contacting us. Note that administrative ban list records are exempt from general deletion requests as necessary for security and moderation integrity.
